Setting up Apple Mail

Complete guide to configuring your CodaMail account in Apple Mail for macOS.

📋 Before You Begin

Make sure you’ve created an App Password with IMAP or POP3 and SMTP enabled in Settings → App Passwords (in the webmail) before starting this setup process. This is required for external email clients to connect to your account; the app password takes the place of your account password in the client.

Apple Mail Tip: Have your CodaMail username and app password ready. The setup process will guide you through the configuration automatically.

📂 Step 1: Open Apple Mail Settings

  • Open the Mail app on your Mac.
  • Click Mail in the top menu bar.
  • Select Settings (or Preferences in older versions).
  • Click the Accounts tab.
  • Click the + button to add a new account.

📧 Step 2: Initial Account Setup

  • Select Other Mail Account from the list of options.
  • Click Continue.
  • Enter your:
    • Name: As you want it to appear in messages
    • Email address: Your full CodaMail address
    • Password: Your app password
  • Click Sign In.

📥 Step 3: Enter the Server Details

Mail will report that it’s “Unable to verify account name or password” and show additional fields. This is expected; fill them in:

  • Account Type: IMAP
  • Incoming Mail Server: mail.pnsh.com
  • Outgoing Mail Server: smtp.pnsh.com
  • User Name: Your account name only (do not include @codamail.com)
  • Password: Your app password

Then click Sign In. Ports and encryption are negotiated automatically; you don’t need to enter them here.

✅ Step 4: Complete Setup

  • Select which apps you want to use with this account (Mail should be checked).
  • Click Done.
  • Your CodaMail account should now appear in the Mail app sidebar.

⚙️ Advanced Settings

Mail manages ports and encryption automatically, and the automatic settings work with our servers. If you ever need to see or change them:

  • Go to Mail → Settings → Accounts.
  • Select your CodaMail account and click Server Settings.
  • Uncheck Automatically manage connection settings to reveal the port and TLS/SSL options.
  • Correct values are:
    • IMAP: port 993 with TLS/SSL enabled.
    • SMTP: port 465 with TLS/SSL enabled, authentication “Password”.

🔧 Troubleshooting

If you encounter any issues during setup:

  • Verify that IMAP and/or POP access is enabled in your app password settings.
  • Double-check that your username is entered without @codamail.com.
  • Ensure SSL/TLS is enabled for both incoming and outgoing servers.
  • Verify that you’re using the correct ports (993 for IMAP, 465 for SMTP).
  • Try quitting and reopening the Mail app, then attempting setup again.
  • Check your Mac’s firewall settings to ensure Mail can connect to the internet.
  • If you continue to have problems, contact our helpdesk for assistance.
