Using Notes

A private notebook built into your webmail: Markdown, HTML, and plain text notes plus visual canvas boards, in nested folders, with images, PDFs, and media alongside, synced to your devices.

📝 Notes Basics

Open Notes from the Notes icon in the webmail. The sidebar shows your folder tree and notes list with a search box; the main area shows the note you’re reading or editing. Each note displays its created and updated timestamps, format, and size.

A note is one of four editable formats:

  • Markdown: Write in plain text with lightweight formatting. The most portable format, and the native format of apps like Obsidian.
  • HTML: Full HTML formatting, edited as source and rendered when viewing.
  • Text: Plain and simple, no formatting at all.
  • Canvas: A visual board of cards, arrows, and groups, fully compatible with Obsidian Canvas. See the canvas boards guide.

Alongside editable notes, your notebook stores images (JPEG, PNG, GIF, WebP, AVIF, BMP), PDFs, audio (MP3, M4A, WAV, OGG, FLAC), and video (MP4, WebM, MOV, MKV, and more). Images and PDFs display in webmail, and audio and video play right in the note view. Keep a receipt, a scan, a voice memo, or a clip right next to the note that explains it. Total note storage depends on your plan.

✏️ The Markdown Editor

Markdown notes get a full writing environment, not just a text box:

  • Formatting toolbar: Bold, italic, strikethrough, headings, code, quotes, bulleted and numbered lists, links, tables, and horizontal rules, plus undo/redo. One click inserts the Markdown for you.
  • Images: Link an image by URL or upload one straight into the note.
  • Preview renders the formatted result; Side by side shows the source and the rendered note at once; Fullscreen clears everything else away for distraction-free writing.

HTML notes open in the same editor, edited as source with the same toolbar and hotkeys available. Plain text notes are a simple text box, kept exactly as you type them.

📁 Nested Folders

Organize your notebook with folders inside folders, as deep as your structure needs:

  • Create: Click New folder, name it, and choose where it lives with Create inside (the top level or any existing folder).
  • Move: Use Move to folder... on any note to refile it. Folders themselves can be reorganized the same way.
  • Right-click or long-press a folder for its menu, with Move and Delete on desktop and mobile alike.
  • Delete: Removing a folder removes everything inside it, and asks you to confirm first.

The number of folders you can create depends on your plan. Your folder tree is mirrored exactly when you sync (below), so a notebook organized here looks the same in Obsidian and vice versa.

📧 Sending, Downloading & Uploading

  • Send a note by email: Select a note and click Send. A compose window opens with the note attached, ready to address.
  • Download: Save any note or stored file to your device as a file.
  • Upload: Bring in existing Markdown, text, or HTML files, plus canvas boards, images, PDFs, audio, and video. Uploads are validated for safety, and anything that isn’t an accepted note format is rejected.

🗺️ Canvas Boards

Notes with the .canvas extension open as visual boards: an infinite surface where you arrange cards, connect them with labeled arrows, gather them into groups, and embed your other notes, images, PDFs, and media directly on the board. Boards are fully editable in webmail, with drag and resize, alignment snapping, multi-select, undo and redo, and copy and paste, and the same file opens natively in Obsidian.

Create a board from the New menu: pick Canvas board, name it, and choose where it goes. Each board is created in its own project folder of the same name, so the board and the files and notes you gather onto it stay together.

🔄 Syncing Notes to Your Devices

Your notes are available over WebDAV using the same privacy-preserving auth pairs as calendar and contact sync, so nothing in the login or URL reveals your account. Sync two-way with note apps on every platform:

  • Obsidian (all platforms, via the Remotely Save plugin)
  • Zettel Notes (Android), 1Writer and Notebooks (iOS)
  • Any WebDAV file client: GNOME Files, Cyberduck, rclone, and more
  • Memos: Your text notes can also appear as memos in Evolution, KOrganizer, and jtx Board alongside your calendars

Create, edit, move, rename, or delete on either side and the other follows, folders included. Full per-app setup instructions are in the notes sync guide.

🔒 Privacy

Notes live on the same protected infrastructure as your mail: encrypted connections only, no tracking, no analytics, and nothing loaded from outside our servers. Sync access is granted per auth pair with its own notes permissions (read, create/update, delete), and can be revoked instantly without affecting anything else.
