Using the Calendar
Events, tasks, birthdays, and holidays: everything your calendar can show, the fastest ways to work with it, and every setting explained.
📅 Calendar Basics
Open the calendar from the Calendar icon in the webmail. The main area shows your schedule in the view of your choice; the sidebar holds a mini month for quick navigation, a search box, and your list of calendars.
You can keep as many calendars as you like (Work, Family, Trips…), each with its own color. The checkboxes in the sidebar show or hide each calendar, so you can focus on one area of your life or see everything at once.
Use the search box to find events across your calendars. The date range searched expands with your view, and you can jump straight to any result.
👀 The Four Views
Switch views with the buttons at the top of the calendar. Each is built for a different way of looking at your time:
Day View
A single day as a vertical timeline, divided into time slots. The most detailed view: overlapping events sit side by side, and precise times are easiest to see and adjust here. Best for busy days and fine-grained scheduling.
Week View
Seven vertical timelines side by side (starting on the weekday you choose in settings). Your working hours are highlighted, hours outside them are shaded, and all-day events sit in a band across the top. The best everyday view for planning: you see the whole week’s shape at a glance and can drag events between days as easily as between hours.
Month View
The classic month grid. Each day shows its events as compact colored bars; days with more events than fit show a link to the rest. Ideal for longer-range planning, spotting free weekends, and dragging events from one date to another. Optionally shows week numbers along the side.
Agenda View
A simple chronological list of your upcoming events, with no grid at all. Choose how far ahead it looks using the range selector. The fastest way to answer “what’s next?”, and the most comfortable view on small screens or for screen readers.
The view you use most can be made your starting view with the Default view setting (see Calendar Settings below).
✏️ Creating and Editing Events
The fastest way to create an event is directly on the calendar:
- Click a time slot (or click and drag across a time range in Day or Week view) to create an event right there. Type a title, and open the full dialog if you need more.
- The full event dialog covers everything else: location, description, which calendar it belongs to, a category, reminders, recurrence rules (daily through yearly, with end conditions and exceptions), file attachments, and attendees.
- All-day and multi-day events are supported; in Day and Week views they appear in the band across the top.
- Private events: an event can be marked with a sensitivity (public, private, confidential) for use with shared calendars.
Drag and Drop
Most day-to-day changes never need a dialog:
- Move an event by dragging it to another time or day. In Month view, drag it to a different date.
- Change its length by dragging the bottom edge (Day and Week views) to extend or shorten it.
- Create by dragging across the time range the event should cover.
Dragging a recurring event asks whether the change applies to just that occurrence or the whole series.
📚 Managing Multiple Calendars
- Create a calendar: use the + in the Calendars section of the sidebar. Give it a name and pick its color.
- Edit or delete: select a calendar in the sidebar and use its options to rename, recolor, or remove it.
- Show and hide: the checkbox next to each calendar controls whether its events are displayed. Hidden calendars still sync and still fire reminders.
- Move an event between calendars: open the event and change its Calendar field.
- Default calendar: choose which calendar new events land in with the Create new events in setting.
Each calendar can be synced or shared independently through our DAV server, with per-token permissions, so your “Family” calendar can be shared while “Work” stays private. See the DAV setup guide.
🏷️ Categories and Event Colors
Beyond the calendar an event belongs to, every event can carry a category (Personal, Work, or any you define), and each category has its own color. Manage your categories and their colors in Settings → Preferences → Calendar under Categories.
The Event coloring setting controls how the two color sources combine on screen:
- According to calendar: events take their calendar’s color.
- According to category: events take their category’s color.
- Calendar for outline, category for content or the reverse: both at once, one as the border and one as the fill.
📧 Turning Emails into Events or Tasks
Any email can become a calendar entry:
- Desktop or tablet: while reading the message, click the More (three horizontal dots) menu above it and choose Add as Event or Add as Task.
- Phone: tap the three vertical dots in the upper right, tap More, then Add as Event or Add as Task.
The event or task dialog opens pre-filled from the message, ready for you to set the date, time, and any other details.
✅ Showing Your Tasks on the Calendar
Tasks with due dates can appear directly on your calendar alongside your events, so one view holds your whole schedule:
- Go to Settings → Preferences → Calendar.
- In the Tasks section, enable Show tasks with due dates in calendar and save.
A Tasks calendar appears in your sidebar showing every task that has a due date and isn’t completed yet. Click a task on the calendar and use Open in Tasks to jump straight to it in the Tasks app for editing; completed tasks drop off the calendar automatically.
🎂 The Birthdays Calendar
Your address book can feed an automatic birthdays calendar:
- Go to Settings → Preferences → Calendar.
- In the Birthdays Calendar section, enable Display birthdays calendar.
- Under From these address books, choose which address books to draw from, and optionally set a reminder so birthdays never sneak up on you.
Every contact with a birthday on file appears automatically, age included. Add or update a contact and the calendar follows; there is nothing to maintain by hand.
🌍 National Holidays
Import official holidays for over 150 countries:
- Go to Settings → National Holidays.
- Select one or more countries and import.
Each country’s holidays arrive as their own calendar, so you can color, show, hide, or remove them independently. Useful for your home country, places you travel, or coworkers’ locations.
📩 Invitations, Import & Sync
- Inviting others: add attendees on the event’s Participants tab. Invitations are sent by email, and responses update the attendee status on your event.
- Receiving invitations: when someone invites you, the invitation email shows Accept / Maybe / Decline buttons right in the message, and accepted events land on your calendar automatically. What happens to the invitation email afterward is up to you (see the Event Invitations setting below).
- Import and export: bring in iCalendar (.ics) files from any other calendar system, and export any of your calendars the same way. Combined with mail import/export and vCard contacts, your entire account is portable.
- Sync to your devices: your calendars (and tasks) sync to phones, tablets, and desktop apps through our privacy-preserving CalDAV server. See the DAV setup guide.
⚙️ Calendar Settings, Explained
All calendar preferences live in Settings → Preferences → Calendar. Here is what each one does:
Main Options
- Default view: Which view (Day, Week, Month, or Agenda) the calendar opens in.
- Time slots per hour: How finely Day and Week views divide each hour. More slots means finer scheduling (15-minute appointments); fewer means a cleaner grid.
- First weekday: The day your weeks start on: Sunday, Monday, or any other day that matches your routine.
- First hour to show: Where Day and Week views start scrolling from, so early empty hours don’t push your working day off screen.
- Working hours: The start and end of your working day. Hours outside this range are shaded in Day and Week views.
- Event coloring: How calendar colors and category colors combine (see Categories and Event Colors above).
- Default reminder setting and Default reminder time: The reminder new events start with, so you never have to remember to add one.
- Create new events in: Which calendar new events land in when you don’t choose one explicitly.
- Display week numbers: Show week-of-year numbers never, in the date picker only, or in the date picker and calendar view.
Event Invitations
- After an invitation or update message is processed: What happens to the invitation email once you’ve responded to it: leave it alone, move it to Trash, delete it, or flag it as deleted.
Categories
- Add, rename, recolor, or remove your event categories. Each category’s color swatch is editable right in the list.
Birthdays Calendar and Tasks
- The Birthdays Calendar and Tasks sections enable the two overlay calendars described above, including the birthday source address books and reminder.
