Using Tasks

A full task manager built into your webmail: quick entry, smart date filters, subtasks, tags, and sync to every device.

✅ Tasks Basics

Open Tasks from the Tasks icon in the webmail. The sidebar holds your task lists and your tags; the main area shows your tasks, filtered and sorted however you like. Ticking a task’s checkbox marks it complete; everything else about a task is one click away.

Like calendars, you can keep multiple task lists (Projects, Household, Someday…) and show or hide each one with its checkbox. Tasks are colored by the list they belong to.

👀 Smart Date Filters

The view selector above the task list slices your tasks by when they’re due, so the list in front of you always matches the question you’re asking. Pick from the dropdown:

  • All: Everything that isn’t complete, grouped by due date.
  • Today and Tomorrow: Just what’s due now (Today also shows what’s overdue).
  • Next 7 days: Your week at a glance.
  • Later: Due dates beyond the coming week, plus tasks with no date yet.
  • Overdue: Only what has slipped past its due date.
  • Flagged: Tasks you’ve flagged as important.
  • Complete: Finished tasks, kept for reference until you delete them.

Click a tag in the sidebar to narrow any of these views to one topic, and use the search box to find tasks by text.

✏️ Creating Tasks

The quick-add bar at the top is the fastest way in: type a title and press Enter (or click the + button). Include the date, and optionally a time, right in the text (“Friday call the dentist”, “Aug 15 renew passport”, “tomorrow 3pm pick up prescription”) and the due date and time are set on the new task automatically.

For everything else, open the task to reach the full editor:

  • Due and Start dates, each with an optional time.
  • Reminder: Get notified before the task is due.
  • Priority: From highest to lowest; sortable and shown in the list.
  • Status and Progress: Needs action, In process (with a percent-complete slider), Completed, or Cancelled.
  • Tags: Free-form labels for cross-list organization. Tags you’ve used are offered as you type and collect in the sidebar for one-click filtering.
  • Description and Attachments: Notes and files travel with the task.
  • Recurrence: Repeat a task daily through yearly. When you complete one occurrence, the next one is created automatically (a start or due date is required).

📋 Subtasks

Any task can be broken into subtasks: choose Add subtask on a task and build the checklist underneath it. Subtasks nest, collapse, and expand, so a big project stays one tidy line until you want the details.

Deleting a parent task asks whether to delete just that task or the whole subtree, and completed subtasks are counted toward the parent’s progress at a glance.

📚 Multiple Lists, Sorting & Focus

  • Create a list with Add list in the sidebar; edit or delete a list from its options. Deleting a list removes its tasks, and you’ll be asked to confirm.
  • Focus one list: View only this list temporarily hides every other list, without changing your saved show/hide choices.
  • Sorting: The sort menu orders tasks automatically (by date and priority) or explicitly by the column you choose; your sort preference is remembered.
  • Move between lists: Open a task and change its list.

Each task list syncs independently through our DAV server with per-token permissions, so a shared “Household” list can go to the family devices while your other lists stay private. See the DAV setup guide.

📧 Turning Emails into Tasks

Any email can become a task:

  • Desktop or tablet: while reading the message, click the More (three horizontal dots) menu above it and choose Add as Task.
  • Phone: tap the three vertical dots in the upper right, tap More, then Add as Task.

The task editor opens pre-filled from the message, and the task keeps a Reference link back to the original email, so “reply to Sarah” is one click from the task itself.

📅 Your Tasks on the Calendar

Tasks with due dates can appear directly on your calendar alongside your events: enable Show tasks with due dates in calendar in Settings → Preferences → Calendar. Completed tasks drop off the calendar automatically, and clicking a task there offers Open in Tasks to jump back here. See Using the Calendar for details.

📩 Import, Export, Print & Sync

  • Import Tasks: Bring in tasks from any other system via iCalendar (.ics) files.
  • Export to iCalendar: Export a list’s tasks the same way; your tasks are never locked in.
  • Print: A clean print view of the current task list.
  • Sync to your devices: Task lists sync over CalDAV to phones, tablets, and desktop apps (Tasks.org and jtx Board on Android, Apple Reminders via CalDAV, Thunderbird, and more). See the DAV setup guide.
